Terms of booking & paying a deposit

By placing a booking with us (or through a representative) you (the lead guest) and your booking party (guest) agree to the following terms and conditions as set-out below. During your stay you agree to abide by the subsequent conditions as set-out and the house rules. Booking Process

To place a booking with us, the lead guest must be at least 18 years of age. The maximum number of staying guests per room is illustrated in the room occupancy details on our website. Where the person making the booking is different to the lead guest staying in the accommodation, the person making the booking may be held responsible for cancellation, non-arrival and damages as set-out within this policy. Only the lead guest and the named booking party are allowed to use the property and its facilities, any third party visitors are only allowed access at our express permission.

To secure a booking we may require a deposit to be paid in advance, this deposit amount varies depending on the rate selected when booking. Deposit payments must be 'cleared funds' before a booking can be confirmed. Deposits are only refundable under the conditions set-out below.  

Alternatively we can accept a pre-authorisation on a credit or debit card. We will hold your payment card securely on our booking provider’s servers and charge the full amount of your stay 48 hours before arrival. You may notice a zero value (or nominal value) transaction on your bank statement which serves as a verification of authenticity of your payment details.

Payments can be made online or over the phone using most major debit and credit cards as well as by digital bank transfer or cash in person. Any charges raised against us by our banks for handling bank transfers or any other form of payments, will be passed on to the lead guest upon check out.

All guests agree to respect the privacy and peace of all other staying guests, neighbours and the owners at all times. We reserve the right to cancel a booking with immediate effect if guests are not honouring this agreement or causing a disturbance / nuisance to other guests, neighbours or the owners.

Check-in & Check-out

Guests must check-in and check-out by the times stated below;

  • Check-in: from 14:00 (2:00pm) and before 17:00 (5:00pm) on day of arrival

  • Check-out: by 10:00 (10:00am) on day of departure

Early check-in may be possible upon request and providing the turn-around has been completed.
There is no extra charge for this.

You are expected to vacate your room with all of your belongings before the check-out time and return your room keys so housekeeping can clean and prepare the room for the next guests.  

Late check-out may be possible upon request and should be arranged at least one day prior to check-out. Late check-out is by 13:00 (1:00pm) on day of departure for a fixed fee of £15 per room.


Cancellation, Returned Deposit & Non-Arrival Conditions

Guests who need to cancel a booking should contact us immediately. Deposits already paid are only returned in accordance with the following conditions;

If you cancel your reservation up to 48 hours prior to the first night’s stay you’ll receive a full deposit refund / no charge will be made.  

If you cancel 48hrs or less of arrival date then no refund will be issued and the full amount of the stay will be charged to your payment method.

Non-arrival guests, who are unable to attend or fail to attend for whatever reason forfeit their deposit paid and the full amount of the booking will be charged to your payment method. It is suggested that guests take out appropriate holiday or cancellation insurance where required.

If, in exceptional circumstances we need to cancel your booking with us, be aware that we cannot be held liable for circumstances beyond our control and that our liability to you is limited to the refund of any payment already made.

WiFi Fair & Appropriate Usage Policy

Complimentary WiFi Internet access is provided during your stay at Greendale Teahouse & Rooms. When logging on to our private WiFi network, guests accept to use this access to the internet fairly and appropriately. We may monitor network performance and usage in order to maintain a fair and high level of service to all our guests.

The internet access provided is intended for general use such as access to the world wide web, email, messaging, social media, light video or music streaming. It is not intended or suited for heavy media streaming, online gaming or extensive downloads / uploads. Access to illegal activity or use of our network for illegal activity is prohibited and will be reported to local authorities.

Damages & Lost Property

We reserve the right to charge the lead guest for any damages caused through the course of a stay by any member of the booking party. This includes breakages, spillages, stains, damage to furniture or fixtures and fittings. Any accidental damages should be reported immediately in order to minimise damage and associated costs. Lost keys will incur a replacement charge per key.

Any lost property, if discovered and found, left behind by guests during a stay will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belongings with them before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged.

Smoking

Smoking of any tobacco products including, but not limited to cigarettes, pipes, e-cigarettes, e-liquids, cigars, snuff or chewing tobacco, is strictly prohibited throughout the accommodation and the grounds and is in accordance with the Health Act 2006.

Pets & Service Dogs

We welcome well behaved dogs to Greendale Teahouse & Rooms. For practical reasons, we allow a maximum of 2 dogs per room, the extra charge to bring your four-legged friend is priced at £10 per dog per night. Dogs are allowed in most areas except for the kitchen and they must not be left unattended in guest bedrooms at any time. In the event of damage or breakage caused by visiting dogs, we reserve the right to charge for any additional cleaning and/or items damaged or broken. The full room rate will be charged should we be unable to re-let it due to damage or disruption caused.

Parking

Our car park is open to all visitors to the teahouse during our general opening hours. There’s plenty of space available on a first come first serve basis. Guests staying with us overnight may leave their vehicles in the designated car park and accept that they park their vehicles at their own risk.


Your Personal Details & Privacy

We are required to keep a register of guests over the age of 16 who stay with us, this includes full names and nationality, and/or passport numbers, place of issue, details of next destination if they are non-British, Irish or Commonwealth guests. This is in accordance with the (Immigration (Hotel records) Order 1972). These records are kept for a minimum of 12 months and in accordance with the DPA (Data Protection Act 1998) and the GDPR (General Data Protection Regulation).

Our policy surrounding the personal details you provide as part of any booking or enquiry through this website or third party website, including the privacy of those details are explained and set out in our Privacy Policy which you can read here.

You accept that any entries you make to an on-site guest book, if available, will not contain personal information or details you would not want disclosed. Any entries containing personal details that may fall into the DPA and GDPR may be removed and destroyed.
